Property/Health and Safety Administrator

Langtree owns and manages a substantial property portfolio of 50 sites across the UK totalling 3 million sq ft.  Managing property for clients such as John Lewis Partnership Pensions Trust and joint venture partnerships with Warrington Borough Council, Halton Borough Council and the government’s Science and Technology Facilities Council.

We are now looking for an Administrator to join our growing team in Warrington.

Main Purpose:

The purpose of the Team Administrator position is to assist with the day-to-day functions of the Property department and support with Health and Safety requirements of the portfolio.

Key Duties:

  • Handle all incoming calls for the Property Department
  • Respond to email enquiries, distributing all relevant site literature
  • Update the in-house database with new enquiries and close down historic enquiries
  • Draft correspondence and legal documents on behalf of the Property Managers
  • Manage hard copy information relating to tenancies and archive historic information
  • Co-ordinate all intercompany paperwork for new tenancies, lease renewals and vacations
  • Co-ordination of tenant satisfaction surveys and data collection
  • Action all post-completion tasks for new tenancies and vacations
  • Manage the on-site security systems, daily checks, update records and liaise with service providers to resolve faults
  • Raise purchase orders for the team and approve invoices in line with delegation
  • Occasionally arrange the handover of keys at local sites in the absence of the Property Managers (travel expenses will be reimbursed)
  • Collation of utility data from the industrial occupiers for sustainability reporting
  • Monitoring of Energy Performance certification for the industrial portfolio
  • Keeping all property information current and valid such as tenant email and contact details ensuring all communication lines are correct.
  • Assistance to the Property Director and Industrial Property Managers, co-ordinating and monitoring Health and Safety information for the property portfolio, to include but not limited to:
  • Managing approved contractor information such as accreditation certification, insurances and RAMS;
  • Communication with tenants about seasonal maintenance such as winter gritting regimes;
  • Management of risk assessment trackers, ensuring that any actions for the team are in hand;
  • Maintain a database of statutory information to ensure compliance across the portfolio, e.g. Gas Safety Certificates, Fixed Wire Electrical Certificates, Asbestos Management etc.

The ideal candidate will be proficient in the Microsoft Office Suite with an emphasis on Excel, Word and Outlook.  Previous experience in a property environment and management of Health and Safety systems would be an advantage, administrative experience is essential.

We are looking for someone who is confident, conscientious and proactive who can prioritise their workload according to the demands of the team.  Customer service skills and a keen eye for detail are vital to this role.


The position is full time, Monday to Friday from 8.30am to 5.00pm with 0.5 hours lunch break.

Holiday entitlement is 23 days plus bank holidays (rising to 25 days after 12 months service).

6 month probationary period.

Pension contribution from commencement.
